TikTok Shop Settlement Report: How to Reconcile It, Column by Column
If the total on your TikTok Shop settlement statement does not match the sales figure in your dashboard, you are usually looking at three different clocks running at once — and none of them is wrong.
This page is the reconciliation guide: the one formula the statement is built on, what every column in the export actually means, and the three reasons a MY seller's own spreadsheet will not tie out. Every fact carries its source and the market that source applies to, because TikTok Shop publishes some of this documentation per market and the definitions do differ.
The one formula the whole statement hangs on
TikTok Shop's own finance guidebook states it directly:
Settlement Amount = Net Sales − Shipping − Fees + Adjustments
And then the sentence that explains most "wrong" totals:
Your settlement amount is calculated by settlement time (when an order finishes its payout cycle), not by order time. That's the single biggest reason your statement total won't match your daily GMV — they measure different things on different clocks.
So a month of statements is not a month of sales. It is the money that finished its payout cycle in that month, whichever month those orders were placed.

The four buckets
Every line in the export rolls up into one of four buckets. Once you know which bucket a line belongs to, most reconciliation questions answer themselves.

Where to export it, and what is inside
The settlement report is generated daily according to your settlement period, and the export contains several spreadsheets — the important one is the order-details sheet, which is broken down at SKU level.

The order-details sheet columns, as TikTok Shop documents them:

Inside that amount, net sales is itself defined as gross sales + gross sales refund + seller discount + seller discount refund, and the shipping block lists the carrier fee, the customer-paid fee, the incentive, and any incentive refund separately.

Why your numbers do not match: the three real reasons
1. Timing — settlement time versus order time
Payout is initiated 1 to 31 days after the delivery date, under the Dynamic Settlement Policy. That single fact stretches every reconciliation: an order delivered on 28 March can settle in April, and a slow delivery can push an order a full settlement period later than you expect.
On top of that, money can be held before it ever reaches a statement. Reserve amounts sitting in the platform's collecting phase are visible under Finance → On hold, and TikTok added a downloadable Reserve Details sheet (for transactions after 25 September 2025) precisely because sellers were trying to reconcile against money that had not been released yet.
Fix: reconcile on Statement Date, and treat the difference between "delivered" and "settled" as a queue, not an error. Our payout-timing guide maps the settlement tiers.
2. Refunds and reversals that arrive after the fact
A refund does not edit the original line — it arrives as a paired reversal in a later statement. Three consequences catch sellers out:
- Seller-fault return shipping is charged to you, so the refund block can be larger than the product price alone.
- Shipping incentives get clawed back when the refund is the seller's fault (the incentive refund line), so a refunded order can cost more than the product margin.
- Some fees simply do not come back. On MY, the RM0.54 Platform Support Fee (RM0.50 + 8% SST, charged per successfully delivered order since 15 February 2026) is explicitly not refunded when a delivered order is later returned or refunded.
Fix: never reconcile a refund against the original order's statement period. Returns cost structure walks through what comes back and what does not.
3. Deductions and negative balances — where "settlement suspended" comes from
The adjustments bucket is where TikTok Shop recovers money: policy violation deductions and negative balance recovery both land there. A negative balance means your account sits below zero — outstanding fees exceed your balance — and TikTok Shop's published policy takes enforcement action when that persists:

The documented causes are mundane, not exotic: mispriced products, product weight entered inaccurately so shipping is undercharged, a promotion configured wrongly, too many creator samples, or a return rate high enough that refunds outrun sales.

Fix: if payouts stop, read the adjustments lines before you open a ticket. Payout failed or on hold covers the resolution path.
Do not copy another market's reconciliation template
This one is worth saying plainly, because it silently breaks spreadsheets built from a US or UK blog post.
TikTok Shop's UK finance guidebook gives the commission formula as:
((Net Sales + customer paid Shipping Fee) − (Net Sales Refund + customer shipping paid Refund)) × Commission Fee Rate
The customer's shipping payment is inside the commission base. TikTok Shop MY's own fee page defines the MY commission base differently — item price minus seller discount, with shipping and platform-funded discounts excluded.
So a template copied from the US or UK formula will be systematically too high on MY, by roughly your commission rate × the shipping fee you charged. Reconcile using the MY definition, and our TikTok Shop MY fee breakdown prints both the rate and the base to compare against a statement line.
A reconciliation workflow that finds the gap in 15 minutes
- Pick one settled order, not the month. Filter the order-details sheet by
Order/adjustment ID. - Compute what the order should have produced — item price, your discount, commission by category, the 3.78% transaction fee, and the RM0.54 Platform Support Fee. The Shopee commission calculator shows the same fee-layer arithmetic on the Shopee side, and the worked example is useful for sanity-checking order-of-magnitude.
- Walk the statement lines in bucket order — net sales, shipping, fees, adjustments. Nine times out of ten the unexpected line is in adjustments.
- If it still will not tie out, look at three suspects in order: a seller-discount rounding on a multi-item order, a shipping incentive (or its clawback), and a reversal belonging to an earlier period.
- Then build the monthly view on
Statement Date, keeping on-hold and reserve amounts in a separate column, so the queue stops looking like a discrepancy.
